TERMS OF USE
These Terms of Use (further in the text referred to as the Terms) govern the rights and obligations related to participation in The International Conference of Expressive Arts Therapy and Coaching in Belgrade which will take place from October 13th to 15th 2023. organized by the Association of Practitioners of Expressive Arts Therapy and Coaching (further in the text referred to as Organisation):

TERMS OF SERVICE
By Paying the registration fee, you gain the right to participate in the conference for 1 to 3 days. It can be online or live, depending on your choice when registering on the website www.meetingpointart.com:
3 days: Early bird price (until July 31st) 235 EUR, Full price (after July 31st) 335 EUR
2 days: Early bird price (until July 31st) 185 EUR, Full price (after July 31st) 270 EUR
1 day: Early bird price (until July 31st) 110 EUR, Full price (after July 31st) 155 EUR
3 days online: Early bird price (until August 7th) 65 EUR, Full price (after August 7th) 95 EUR
If participating in person at the location: lunch, refreshments, and all art materials will be provided.
If participating online: basic art materials will have to be obtained by the participant.
PARTICIPATION ONLINE
The conference will be held for 3 days. The online program will be completely separate but some activities will be broadcasted from the venue. More detailed information about the program is available on the conference website.
In order for online services to be provided fully and satisfactorily, the participant is required to obtain appropriate equipment and a stable internet connection. The organization can not be held responsible if the service is not fully provided due to the fact that the user did not provide the necessary equipment and a stable internet connection.
USERS
The conference is intended for adults who are work-capable and who can take personal responsibility for their mental health and well-being during and after the conference.
In case the User is under 18 (eighteen) years of age or if for any legal reason, they are not allowed to conclude a binding contract, they may participate in the conference with the consent of their parents or a guardian. If the parent or guardian consents, then the parent or guardian who agreed to do so agrees to be bound by these Terms and to bear responsibility for the User, as well as for all their obligations under these Terms.
RECORDING AND TAKING PHOTOGRAPHS DURING THE CONFERENCE
The organizers are authorized to record parts of the conference in order to use this material (photo/video/audio) for the dissemination of the actions and future activities on Facebook, Instagram, Newsletter, and Website.
By registering and accepting these Terms, users understand that there is a possibility of being recorded and therefore give their consent.
Intimate processes during the workshops will not be exploited in the media. The user is obliged to adhere to the same principles.
PRESENTERS
You are invited to join the conference program as presenters by holding a workshop, giving a lecture or a presentation, doing a performance, or making an exhibition. If you use art to facilitate connection, in any form or shape, feel free to submit your proposal. Please take notice that all of the above should be addressing this year´s conference theme: Meeting Point - Connecting through Arts. The deadline for submitting your proposal is July 2nd, 2023. Proposals will be read and selected by the Organizing Program Team and Dr. Avi Goren-Bar. Users will be notified of the selection one month after the registration for the participant closes. Presenters are also obliged to register for participation at the conference and pay the participation fee.
PAYMENT METHOD
When registering, you choose whether you want to pay via bank transfer or credit/debit card.
If you choose the credit/debit card option, we will send you a secure link after the registration with which you can pay more easily and without additional fees. This method is recommended for payments from abroad.
If you pay by bank transfer, please note that bank transfer fees are the responsibility of the user. The instructions for the payment will be provided after the registration.
For local participants, it is recommended to use a bank transfer as there are no fees or currency conversions for local payments. Detailed instructions for the payment will be provided after the registration.
For payments via a secure link (payment card):
Commission costs are covered by the conference organization - you will not be charged any significant additional fees. All payments will be made in the local currency of the Republic of Serbia - dinar (RSD). For the informative display of prices in other currencies, the middle exchange rate of the National Bank of Serbia is used. The amount for which your payment card will be charged will be expressed in your local currency through conversion at the exchange rate used by the card organizations, which can not be known to us at the time of the transaction. As a result of this conversion, there is a possibility of a slight difference in the amount from the original price listed on our website. Thank you for your understanding.

CANCELLATION AND REFUND POLICY
To cancel the registration, a written cancellation request must be submitted to the Organizing team via official Conference e-mail (info@meetingpointart.com).
For cancellations by September 10th 2023. 70% of the total payment amount will be refunded. There will be no refunds for cancellations after September 10th, 2023. Registration can be transferred to another person.
In case of a refund to a customer who previously paid with a payment card, partially or fully, and regardless of the reason for the refund, the Association of Practitioners of Expressive Arts Therapy and Coaching is obliged to make the refund exclusively via VISA, EC/MC and Maestro payment methods.
DATA PROTECTION
On behalf of the Association of Practitioners of Expressive Arts Therapy and Coaching and the organizing team of the conference, we undertake to protect the privacy of all conference participants. We collect only necessary, basic data about participants and data necessary for business and user information in accordance with good business practices and in order to provide good quality service. We give our participants the possibility of choice, including the decision whether they want to be removed from mailing lists used for marketing campaigns. All user data is strictly protected and is available only to the employees who need this data to do their job. All members of the organizational team of the conference are responsible for respecting the principles of privacy protection.
PROTECTION OF CONFIDENTIAL TRANSACTION DATA
When entering your payment card data, confidential information is transmitted via a public network in a protected (encrypted) form using the SSL protocol and the PKI system, as the newest form of cryptographic technology. Data security during purchases is guaranteed by the payment card processor ChipCard a.d Beograd, so the entire payment process is carried out on the ChipCard website. Payment card information is not available in our system at any moment.
PAYMENT CONFIRMATION
After the payment has been made, a payment confirmation will be sent to the e-mail address you provided during registration.
LIMITATION OF LIABILITY
The conference program is educational and experiential but does not represent medical, legal, psychological, or any other type of professional assistance. The participant is fully responsible for their decisions and behavior and by registering they confirm that they will not hold the Association of Practitioners of Expressive Arts Therapy and Coaching, the organizational team of the conference, lecturers and workshop leaders, other participants, as well as the content of the conference responsible for their life, behavior, decisions, or results as well as their mental and physical health and well-being, anytime and under any circumstances.
Any information available on the website and the conduct of the conference is not and can not be a substitute for the service of professional help in any field including psychological, medical, or psychiatric. In case of any symptoms of compromised mental or somatic health that require a diagnosis and treatment, it is necessary to consult a doctor, psychologist, psychiatrist, or psychotherapist, depending on the symptoms.
The organization is not held responsible for communication between participants, including presenters, nor for any consequences that may arise as a result of such communication.
The organization is not responsible for possible temporary unavailability of services nor for partial or complete non-functioning or incorrect functioning. It is also not responsible for technical problems that may lead to delays and/or incorrect processing of electronic data. In case of technical problems, we kindly ask for your patience and understanding as we are doing everything we can to fix them as soon as possible.
The organization will not be liable for any direct or indirect, incidental, special, or consequential damages that may arise from participation in the conference or reliance on the content of the website; or inability to use the website and/or possible illegal activities on the website.
Regarding the content of the conference, the Organization can not be held responsible if the information about the service does not describe the service in an appropriate or expected way according to the participant´s opinion.
FINAL REGULATIONS
The Organization reserves the right to change or fill in these Terms of Use at any time, by publishing the changes and additions in a refined text on the Internet presentation and sending an e-mail to the users at least eight days before the start of their application.
These terms start to apply from the day of their publication on the website.
